Press release for a new executive: what to say, who approves it and when to publish

In short

An executive press release is a dated public statement that a named person has taken a role: the title, the start date, who they report to, what they did before and what they will do. Customers, candidates and partners read it to see who runs the company. Publish it once the person has agreed to the role and approved the text, bio and quote, and treat any departing leader’s words with care.

Press release for a new executive. In Edelman’s 2026 Trust Barometer, trust in my CEO was 66%, with a net gain of 9. Gallup finds 19% of US employees strongly trust their organization’s leadership. A listed company’s Form 8-K is due within four business days of the event (SEC General Instruction B.1). Our own release was live on USA Today 39 minutes after submission. Get the person’s written approval and say only what is accurate and agreed about anyone leaving.

Why announce a hire

Leadership is something customers, staff and candidates look for. In Edelman’s 2026 Trust Barometer (nearly 34,000 respondents in 28 countries), trust in “my CEO” was 66%, and it gained net trust (+9) while foreign business leaders lost (−6); Edelman’s release does not say who was asked that question. Gallup’s data as of August 2026 shows that only 19% of US employees strongly agree they trust their organization’s leadership. Both measure general trust, not reactions to a hire, and Edelman is a communications firm; the practical point is that leadership is something customers, staff and candidates look for, and a dated announcement tells them who it is.

It is also useful to the new person: a public, accurate record of the role and the start date, in the company’s words, which the company controls.

What to write: three real examples and one fictional

We read three 2026 executive releases on wires: ComplianceQuest’s CFO (ACCESS Newswire, 12 May), CuriosityStream’s Chief Commercial Officer (ACCESS Newswire, 5 February) and Synteq’s CEO (PR Newswire, 23 July). All three put the name and title in the headline and gave the new executive’s background in the opening paragraphs. CuriosityStream’s said the role was new, was effective immediately and named the reporting line. Synteq’s gave the effective date (1 July, announced 22 days later), named who the new CEO succeeds and gave that person a named new role, as chief development officer, with a quote from them. ComplianceQuest’s listed prior roles and degrees and named a media contact. ComplianceQuest’s did not state a start date or a reporting line. That is our reading of three releases, not a statistic.

The fictional example below uses an invented company, Cedarline Bikes. The details are made up.

HeadlineCedarline Bikes Appoints Marta Silva as Chief Operating Officer
First paragraphCedarline Bikes today announced that Marta Silva has joined as Chief Operating Officer, effective 1 December 2026, reporting to chief executive Ana Ruiz. Silva was previously head of supply chain at [company].
Quote from the company“Marta has built the supply chain behind a bike brand in 30 countries; we are opening in six more,” said Ana Ruiz.
Quote from the hire“I joined because the company publishes how its bikes are tested,” said Marta Silva.
What three real 2026 executive releases include: the headline has the company, the word appoints, the full name and the title; the first paragraph has the prior role and the effective date or effective immediately; the reporting line is named in CuriosityStream’s release but not in ComplianceQuest’s; for an outgoing leader, Synteq named the new role and gave a quote; each had one quote from the company and one from the hire; each had a named media contact.

What to handle before you publish

Get the person’s approval of the text, title, bio, photo and quote, in writing, and the photographer’s permission to use the photo. Check the facts against the person’s CV or LinkedIn profile: the exact title, prior employers and dates.

If the company is listed, the SEC’s Form 8-K applies. General Instruction B.1 sets four business days after the event, which for an appointment runs from the appointment, not from the start date, so set the release date with counsel and let the release and the 8-K go out together. Item 5.02(c) covers the appointment of a principal executive officer, president, principal financial, accounting or operating officer or similar: it asks for the name and position of the newly appointed officer and the date of the appointment, with background and a description of any material arrangement. The instruction to Item 5.02(c) lets the company delay the 8-K until the day it otherwise makes public announcement of the appointment. A chief commercial officer, a chief marketing officer or a vice president usually falls outside 5.02(c) unless they perform similar functions, and a departure of a listed officer has its own trigger under 5.02(b); ask counsel. The form says nothing about press-release wording; have counsel clear the release.

If a leader is leaving, say only what is accurate and agreed with the person. UK guidance on job references from Acas sets the standard that what an employer writes must be accurate and fair and that opinions need evidence; apply the same discipline to a release and have counsel check local law. Where a founder is stepping aside, as in Synteq’s release, name their new role and quote them, if both are true.

When to publish

Publish on or just after the start date, or on the date the company has agreed, once the approvals are in; for a listed company the date follows the 8-K timing above. Synteq’s release came 22 days after the new CEO took over, which shows that “on the day” is not required; but a long gap leaves customers to find out from LinkedIn first.

If you need a fixed date, our release form lets you schedule the release at least 48 hours after you submit; editors review first and then schedule it. For a same-day announcement, submit without a set time once the text is approved; after editor review it goes out (ours was live 39 minutes after submission). If you brief journalists, 78% in Muck Rack’s 2026 survey want pitches before noon and 69% prefer under 200 words (Muck Rack sells PR software).

Which package to choose, and why

For most hires the audience is customers, candidates and partners who search the company name, and Brand Starter at US$69 distributes the release to 300+ outlets, including openPR and 25 city news sites. Global Reach at US$129 adds newspaper and TV-station finance pages. For a CEO or CFO change at a company that investors and journalists follow, Premium Media at US$379 adds AP News, USA Today, Barchart and StreetInsider.

Every price is on the pricing page, the media list names the outlets in each package, and our comparison reads other services’ own published prices and dates.

How to use the release afterwards

Link it from the company’s Leadership or About page and from the new executive’s profile; share it with customers and partners the person will work with; and have the executive and the company post it on LinkedIn. Use your brand name or web address as the link text.

The checklist

Before you submit, check these seven points. How to write a press release covers the structure.

  • Does the headline carry the full name and exact title?
  • Does the first paragraph give the start date, the reporting line and the prior role?
  • Has the person approved the text, bio, photo and quote in writing?
  • Is there a quote from the company and one from the hire?
  • If someone is leaving, is everything said about them accurate and agreed?
  • If the company is listed, has counsel cleared the release and the 8-K timing?
  • Is the publishing time agreed?
Seven checks before submitting an executive release: full name and exact title in the headline; start date, reporting line and prior role in the first paragraph; the person has approved the text, bio, photo and quote in writing; a quote from the company and one from the hire; anything said about a departing leader is accurate and agreed; for a listed company, counsel has cleared the release and the 8-K timing; the publishing time is agreed.

What our own releases show

Readers who check who runs a company search its name. Our own release was live on USA Today 39 minutes after submission on 23 October 2026 (unscheduled); by 4 November both of our USA Today release pages were in Google’s index, and a Bing search for “Vokolla” showed them second and fourth. Each is one check, so read them as our October 2026 results. See how long distribution takes.

Questions people ask

When should I announce a new executive?

On or just after the start date, once the person has approved the text; for a listed company, follow the 8-K timing with counsel. Synteq’s release came 22 days after the new CEO took over; a long gap lets customers learn it elsewhere first.

What should a leadership release include?

The full name and exact title, the start date, the reporting line, the prior role, a quote from the company and one from the hire, and a media contact.

How do I announce that a founder is stepping aside?

Say what is accurate and agreed, name the founder’s new role if there is one and quote them, as Synteq’s release did for its co-founder.

Do listed companies have extra rules?

Yes. SEC Form 8-K Item 5.02 covers appointments and departures of certain officers, and the General Instruction sets four business days. Have counsel clear the release.

Do I need the executive’s permission?

Yes: get approval of the text, bio, photo and quote in writing, and the photographer’s permission for the photo.
